How do I use the BCC field? And Why Should I Use It?

How much e-mail “stuff” do you get from your friends? How much “stuff” comes from organizations you belong to? How about the mailing list “stuff” you receive?

Most likely you send and receive “stuff” several times a day. Did you know there are two distinct ways in which you can send stuff?

  • So that everyone can see everybody else’s email address.
  • So that everyone can’t see everybody else’s email address.

Does it really matter if they see all the addresses?

Yes it does!

Let’s say you send an e-mail to twenty friends showing each of their 20 addresses. Then each of them forward it to 20 of their friends still showing the addresses. Suddenly 400 people now have your friends’ e-mail addresses.

Imagine if every time you made a phone call, you gave that person all of your friends’ phone numbers. Then that person handed them out to everyone they called.

The next time you receive a joke email, scroll down and look at how many email addresses have been forwarded to you. How many of these people are personal friends of yours?

You can see how easily it would be for a spam list to pick up hundreds of e-mail addresses in one shot.

So, how do you keep your friends’ email addresses hidden? A good practice is to use the bcc field when you send an email.

BCC stands for “Blind Carbon Copy”. It originally was used when someone typed a letter and sent a “carbon” copy to an undisclosed person. They would include “bcc” on the letter so the recipient would know another “secret” copy was sent, but would not know who it was sent to.

Now BCC is used to hide everyone’s email address from everyone else when sending an email across the internet.

To use this field, simply put all of the recipient addresses in the bcc field instead of the “To” field or “Copy” field. If your ISP requires a name in the “To” field, just enter your own address. Then send your email as you normally would.

If you are sending the message to 5 close friends that all know each other, then there is no need to use this field. Or if you are at work or in a business transaction, everyone would already have each other’s addresses.

But if you are sending emails to several people in your address book that may not know each other, please use this important field. Your friends will be thankful that you aren’t handing their email address out to everyone on the internet!

What is an Autoresponder? And Why Should I Use One?

So, you have your website up and running. Prospective customers are hitting it, checking out what you have to offer. They’re in the middle of reading about your latest offer, product or idea and their phone rings. The boss is calling them into an important meeting… or their computer crashes… or the doorbell rings… or the kids spill paint all over the new carpet.

There are a number of things that can tear your customer away from your message. About 60% of a site's visitors who eventually end up buying a product or service don't do it on their first visit. You need to get each visitor back to your site. Auto responders are a great way to keep in touch with your customers once they have left your site.

An autoresponder is a program that automatically returns a prewritten message to anyone who sends a message to your e-mail address.

Autoresponder Benefits:

Besides keeping your message in front of your customer, there are numerous other benefits to using automated e-mails:

Targeting Marketing - While building your emailing lists your prospects can be segmented according to the offers and promotions that they respond to. Once they ask or email you for a specific offer they can be put on a segmented list that identifies them, the products they want, and their personal preferences. This lets you market to your prospects more effectively, efficiently and personally.
Ease of Use – Autoresponders allow you to respond to your customers when you are away from your business. The customer will receive an automated, personalized e-mail even while you are on vacation or away on business.
Cost Efficient – Autoresponders reduce your costs on everything from long distance phone bills, direct mail postage and customer service and support staff.

Types of responders:

Single follow up – These will reply once to any message sent to it. This is great for letting someone know that you have received their request and will respond to them shortly.
Sequential responders – You can program these to follow up over a period of days, weeks or months with any number of sequential messages. This can be used to remind your customer that a specific offer or quote is expiring soon, or to let them know you have a new product they might be interested in.

Whether you are trying to keep in contact with past customers or attempting to develop a relationship with potential new customers, an autoresponder can be an excellent tool. Automation is important to all businesses. The less time we spend doing small tasks, the better. Putting your online communications on auto pilot is not difficult and can be achieved using autoresponders!
